Privacy Policy

CineFlo is developed and operated by Neon Media LLC ("we," "us," or "our"). We respect your privacy and are committed to protecting the personal information you share with us. This Privacy Policy explains how we collect, use, store, and protect your information when you use the CineFlo mobile app and website at cineflo.com.
By using CineFlo, you agree to the practices described in this policy.
1. Information We Collect
Account information. When you create an account, we collect your name and email address. This is used to authenticate your account and communicate with you about your subscription or support requests.
Usage data. We may collect anonymous diagnostic and usage data, including device type, operating system version, app version, feature usage patterns, and crash or error reports. This data helps us improve performance and fix bugs.
Project data. All content you create in CineFlo — shot lists, scenes, notes, call sheets, and reference images — is stored locally on your device by default. If you enable cloud sync, this data is stored in your linked cloud account (Firebase). We do not access, read, or analyze your project content.
Payment information. We do not collect or store payment card data. All subscription payments are processed directly by Apple (App Store) or Google (Google Play). Subscription management is handled through RevenueCat. Please refer to Apple's, Google's, and RevenueCat's privacy policies for details on how payment data is handled.
Website data. When you visit cineflo.com, standard web analytics data may be collected, including your IP address, browser type, pages visited, and referring URLs.
2. How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve the app and website
- Authenticate your account and manage your subscription
- Respond to support inquiries and user feedback
- Send transactional emails (account confirmations, subscription notices)
- Send call-time text messages for productions, as described in section 4
- Send product updates or newsletters, if you have opted in
- Diagnose technical issues and improve app stability
We do not sell your personal information to third parties. We do not use your data for advertising purposes.
3. Third-Party Services
CineFlo relies on the following third-party services, each of which has its own privacy policy:
- Firebase (Google) — used for optional cloud data storage and account authentication
- RevenueCat — used for subscription management and purchase tracking
- Resend — sends account, call sheet and product emails, and keeps the mailing list for people who opt in to CineFlo news
- Bird — sends call-time text messages and receives replies to them
- Apple App Store / Google Play — handle payment processing for subscriptions
- Google Analytics — used for anonymized website traffic analysis
- Google Tag Manager — used to manage website analytics and tracking scripts
These services may collect certain data in accordance with their own privacy practices. We encourage you to review their policies independently.
Connected Apps. If you have CineFlo Pro, you can connect an assistant such as Claude, ChatGPT, Claude Code or Codex to your projects. Nothing is shared until you choose which projects and tabs it can view or edit, and the assistant receives only what it asks for from those tabs. Some data is never shared whatever you choose: anyone's phone number or email address, your phonebook, rate cards, uploaded files and photo locations. If you switch on Images for a project, its shot reference images appear inside the assistant's shot list view, shown to you in your browser; they are never sent to the AI model, their links expire after 10 minutes, and location data is removed from them. Once CineFlo shares something with an assistant, that provider's policies apply to it (Anthropic's for Claude and Claude Code, OpenAI's for ChatGPT and Codex).
To run a connection, we collect and keep the following:
- A connection record: the assistant's name, the permissions you gave it, your time zone, and when it was connected and last used. We keep it until you delete your account; after you disconnect, it stays marked as disconnected.
- Your choices for each project and the Pause all switch, until you change them or delete your account.
- An Activity entry each time an assistant uses a tool: the tool, the project, the ids of the items it touched, the names of the fields it changed, whether it worked, and a short summary such as "Added 12 shots to Scene 4". It never includes what those fields say. Entries are deleted after 90 days, and only you can see them.
- Sign-in credentials, stored only as one-way hashes. Unused sign-in requests and codes expire after 5 minutes, access tokens after 1 hour and refresh tokens after 30 days.
- A note on each item an assistant creates or edits of which assistant did it and when, kept with the item.
- Daily counts of how many times each tool was used and by which assistant, for each account. They hold no content and no item ids, only tool names and numbers, and we use them to run and improve Connected Apps. They are deleted after one year.
- Shot-planning answers for a project, if you give them to an assistant: coverage style, number of cameras, camera bodies, lenses and aspect ratio. Assistants connected to the same project can read them. They are kept with the project and deleted with it or with your account.
We use this information only to run the connection, apply your choices and show you what each assistant did. You can pause or disconnect any assistant at any time in Settings → Privacy & Data → Connected Apps; a disconnected assistant loses access within a minute. How Connected Apps work.
4. Text Messages (SMS)
Productions that use CineFlo can send call-time text messages to the cast and crew on their call sheets. A production adds a person's mobile number to its contacts and then confirms in CineFlo that the person agreed to receive these texts. We record when that confirmation was given and by whom, and no text is sent before it.
We use a mobile number only to send call-time notices for productions the person is working on and to handle replies to them. A message gives the call time, the shoot date and a link to confirm attendance, and replying CONFIRM confirms. Message frequency varies with the shooting schedule, typically one message per scheduled shoot day. Message and data rates may apply.
Reply STOP to any CineFlo text to stop receiving texts from every production that uses CineFlo. Reply START to opt back in, or HELP for help. You can also reach us at hello@cineflo.com.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent are never shared with any third party, except the service providers that deliver the messages: our SMS provider, Bird, and the mobile carriers.
Delivery records (the number, when the text was sent and whether it was delivered) are kept with the call sheet they belong to and deleted with it. We keep a record of numbers that have opted out for as long as we need it to honour the opt-out.
5. Data Storage & Security
Your project data is stored locally on your device unless you enable cloud sync, in which case it is stored via Firebase under your account. We use industry-standard security practices to protect data stored on our servers and in transit.
You can delete your local data at any time by clearing the app or uninstalling it. To request deletion of your account and any associated cloud data, contact us at the address below.
6. Data Retention
We retain account information for as long as your account is active or as needed to provide services. If you request account deletion, we will remove your personal data within 30 days, except where retention is required by law or for legitimate business purposes such as resolving disputes. Connected Apps data is kept for the periods listed in section 3.
7. Cookies and Tracking
The CineFlo website uses cookies and similar tracking technologies to analyze site traffic and improve user experience. You can control cookie preferences through your browser settings. Disabling cookies may affect the functionality of certain pages.
8. Children's Privacy
CineFlo is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that a child under 13 has provided us with personal information, we will delete it promptly. If you believe a child has submitted personal data to us, please contact us.
9. Your Rights and Choices
Depending on your location, you may have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your personal data
- Opt out of marketing communications at any time
- Withdraw consent where processing is based on consent

California residents: Under the California Consumer Privacy Act (CCPA), you have the right to know what personal information we collect, request deletion of your data, and opt out of the sale of your personal information. 10. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. Continued use of CineFlo after any changes constitutes your acceptance of the revised policy. For significant changes, we may notify you via email or an in-app notice.
